Job Description:

To support the Office Administration and finance record keeping of Aawaz-II Project in various administrative functions including those related to personnel administration and general services administration.

Main Responsibilities:

  • Processes expense & travel claims of the Project office staff
  • Processes payment vouchers, monthly staff salaries and financial statements
  • Makes payments to all the vendors/suppliers
  • Maintain petty cash fund at the project office
  • Posts all transactions in the accounting software
  • Corresponds with other centres for expenses claims
  • Deals with all bank remittances and other payments and maintains proper record
  • Processes bank reconciliation statements and maintains bank record\\\'s files;
  • Maintains proper filing system for payment vouchers and other financial correspondence,
  • Coordinates with internalexternal auditors during internal/external audit,
  • Provide support in the preparation of draft financial reports for SPO management and donors,
  • Manages Employees Old Age Benefits scheme at Project office.
  • Provide support to ensure the procurements are made as per procurement policy including services like printing services, building and equipment maintenance services, travel and hotel services etc
  • Provide support to manage stock of expendable supplies according to the SPO Policy and procedures.
  • Prepare and update inventory status report and submit to NC Administration Unit on quarterly basis after performing physical verification on regular basis.
  • Provide support to oversee the SPO vehicles management, prepares duty roster, including daily duties of vehicles/drivers and proper maintenance and smooth functioning of vehicles.
  • Prepare quarterly vehicle maintenance reports and submit to the NC Administration Unit on a quarterly basis or whenever required.

Other:

  • Adhere to SPO policies and promote participatory culture and demonstrate SPO’s values
  • Participate in professional development training as identified and approved by SPO
  • Carry out any other activities as assigned by the supervisor.
